The main focus of this role will be to provide support to the Director, Network Program Office and the Network Leadership Team. Throughout the course of the projects, the project administrator is in charge of keeping track of any changes, progress, issues, and other project details as necessary. This includes notifying other departments or workers if needed. The project administrator should compile all of the project details and developments in a summary profile that is distributed to Network Leadership, ensuring that everyone is up-to-date (status reports).
• Work under the guidance and leadership of the Director, Network Program Office, to perform project administrator duties such as
o Carry out administrative tasks as required to facilitate an efficient working environment
o Facilitating communication between Network Team members and/or other Functional Areas such as HR
o Scheduling meetings, coordinating materials, taking minutes and updating action registers
o Collecting and storing documents in a centralized location
• The Project Administrator may be asked to work on Project activities for the CTO, Network Leadership Team or Program Office Leadership Team
• Administration, onboarding, and tracking of Network resources (ICs and FTE).
• Projects and day-to-day administration may involve confidential or sensitive information which must not be shared with other team members.
• Projects will vary in scope and scale, and the Project Administrator will be expected to manage several projects simultaneously.
• Liaison with Network teams to track project progress.
• Ensuring the effective preparation (scheduling) and delivery of project events and meetings
• Ongoing evaluation of project activity and reporting on project progress (project meeting notes, status reports, updates to Risk matrix, and registers (action/issue, decision).
• Demonstrated advanced written communication skills with the ability to position communications to align with business goals and corporate messaging
• Exceptional analytical and listening skills, self-starter and committed team player
• Can work well as a team or individually
• Operate well under pressure
• A minimum of 3-5 years experience in project administration or Executive Assistant roles
• Exceptional organizational skills
• Strong working knowledge of MS Office (i.e. Word, Outlook, Excel and PowerPoint)
• Strong PowerPoint and experience creating presentations
• Ability to multitask in a fast-paced, team environment
• Ability to motivate and interact well with people
• Very strong time management skills
• Excellent communication skills with the ability to manage and function effectively as part of a multi-disciplinary team in a multicultural environment.
• Excellent interpersonal skills with the ability to clearly and convincingly communicate, both written and oral, with both technical and non-technical internal customers
• Completion of a degree or diploma in a related field or equivalent combination of education and experience.
