Administrative Assistant, Enterprise Legal Services

The Opportunity

This is a unique opportunity to take on dynamic administrative tasks, identify and bring forth items requiring immediate attention of the Enterprise Legal Services (ELS) team.

Who You’ll Work With

This position provides administrative support to the Global General Counsel, ELS, up to eight lawyers and four policy advisors in the ELS Department which covers the following practice areas: Pension Law & Policy, Employment Law, Litigation, Enterprise Contracts, Derivatives, Regulatory, Capital Markets & Securities.

What You’ll Do

  • Manage the calendar for team members

  • Prepare meeting materials and coordinate agendas

  • Take meeting minutes, as required

  • Intake and document management, including organizing and maintaining complex litigation files

  • Communicate with internal clients and third parties via written and oral communication

  • Handle travel arrangements for the team

  • Lead conference registration and related travel arrangements

  • Process and record invoices as required

  • Prepare monthly expense reports

  • Plan and coordinate team meetings and events

  • Review and prioritize incoming correspondence for senior leaders

  • Revise, proofread and edit documents; prepare routine/standard form correspondence

  • Handle the General Counsel’s calendar, using knowledge of department timelines and priorities to effectively manage demand for time

  • Perform other duties as assigned

​What you’ll need

  • Post-secondary education in a related field an asset

  • A minimum of 7-10 years of administrative assistance support experience with 3-5 years in a legal administrative capacity

  • Excellent MS Office Skills: Word, Excel, PowerPoint, Power BI, and Teams.

  • Strong working knowledge of legal software and electronic Document Management Systems, such as IManage

  • Ability to identify and prioritize tasks requiring immediate action, along with any pertinent information to facilitate decision-making

  • Superb customer-service orientation; a flexible, positive and willing ‘can do’ attitude

  • Ability to be diplomatic, tactful and use discretion in all situations with all levels of staff

  • Proven ability to work independently on multiple tasks while demonstrating initiative.

  • Good judgment and creative problem-solving skills

  • Ability to maintain confidentiality at all times on a wide range of issues

  • Excellent time-management, organizational skills and ability to handle multiple tasks in a fast-paced, interruption-driven environment

  • Experience in managing a senior executive’s calendar using knowledge of organizational and divisional priorities to effectively manage demand for time

  • Current and practical knowledge of Ontario Rules of Civil Procedure would be an asset
